Below you can read about the applicable rules that we use as a starting point in relation to the processing of your personal data.

What information do we collect about you when you visit our website?

We only collect the personal data that you consent to when you visit our website and take an action that requires information from you. This could be when you fill out a contact form or send us an enquiry where we need to know your name, your email and possibly which company you represent.

Likewise, you provide personal data when you sign up for our newsletter or book a stay via our website, where you must fill in the following:

-Name

- Address (not applicable to newsletter)

- Zip code and city

-Email

This information is necessary for us to handle your registration, booking and/or enquiry. The information is stored securely at the Danish Teachers' Association, and you always have the opportunity to ask for insight into what information we have registered about you.

In addition, we collect information about your movements on the website if you have consented to this. You can read more about this under the section on cookies.

Where is my personal data stored?

Your personal data is stored on servers in Denmark at our owners, the Danish Teachers' Association. Some personal data is managed by a third party who is part of the role of our data processor. These store and process personal data on behalf of Sinatur Hotel & Konference in accordance with this data policy and the legislation in force at any given time on the protection of personal data.

How do you protect personal data?

In accordance with the rules of the General Data Protection Regulation, we have entered into data processing agreements with the third parties we work with to get a guarantee that they have the necessary technical and organizational security measures needed to ensure that your personal data is not leaked. In addition, we have prepared detailed manuals and descriptions internally that outline the rules for storing personal data. This means, among other things, that we do not store information about you on non-secure servers and places that can be accessed by others than Sinatur.

Access to information

You have the right to be informed of what personal data we have registered about you, as well as to have incorrect information deleted or corrected. For further information about this, please contact Hotel Director Christina Nielsen at chni@sinatur.dk.

Can there be changes to this policy?

Changes may be necessary in our processing of personal data, and we therefore reserve the right to update and change these guidelines. In the event of significant changes, you will be notified of this, either via a visible notice on our website or via an email if you are subscribed to our newsletter.

We use cookies on our website to generate web statistics and target marketing to our visitors.

Third-party cookies

When we use Google Analytics to generate web statistics, Google Analytics sends cookies through our website. In connection with our use of Facebook, we have inserted a so-called Facebook pixel on the website, which consists of a small piece of JavaScript code that is used to register visits to our website and send information back to Facebook. In this way, we have the opportunity to target ads on Facebook to people who have previously visited our website.

Our website contains media features such as Facebook, LinkedIn, and Instagram, which have their own privacy policies. Conditions for subscribing to Sinatur's newsletter

When you sign up for our newsletter, you consent to Sinatur Hotel & Konference sending you emails with great offers, news from our six hotels and inspiration. At the same time, you agree that we may process your personal data as stated below and in accordance with the applicable personal data policy. We send out an average of 1-2 newsletters per month.

Where is my information stored?

In connection with our e-mail marketing activities, Sinatur Hotel & Konference cooperates with the third-party supplier MailChimp. MailChimp stores and processes your personal data on behalf of Sinatur Hotel & Konference in accordance with our data policy and applicable personal data legislation, in order to ensure the best possible protection of your personal data. Sinatur Hotel & Konference has entered into a data processing agreement with MailChimp, which ensures that they comply with all requirements of the General Data Protection Regulation.

Can I unsubscribe again?

You can unsubscribe from our newsletter at any time, just as you can also update your information via the link at the bottom of the newsletter.

Gated content

To read Sinatur's gated content, you must submit your name, surname, email and phone number. The personal information is used to target our communication with you. By submitting your submission, you give Sinatur permission to contact you with relevant marketing, inspiration and information. 

Processing of personal data about contact persons/meeting bookers and suppliers

The personal data we collect and process about you as a guest, contact person or supplier is used in connection with booking hotel stays and/or meetings/conferences as well as for customer administration to ensure that we fulfil the agreement you have entered into with Sinatur. They are then used to send invoices and handle Sinatur's creditors. The sole purpose is to give you the best experience with us. All information is stored securely in our IT system.

Sinatur takes data protection seriously and attaches great importance to the confidentiality of all personal data. Our employees receive ongoing instruction and training in how personal data is destroyed or secured so that it does not fall into the hands of unauthorised persons.

What information do we collect about you as a contact person for a company/meeting booker?  

Name, address, telephone number and email address

Company information

Information on any other contact persons

If you complete a customer satisfaction survey after a meeting/conference experience with us, this will be saved and stored for subsequent use by the hotel in question. For this purpose, we use a third party, Enalyzer, which ensures that all information is stored in accordance with applicable GDPR rules. It is a selected group of employees per hotel who have access to these questionnaires, and there will be no sensitive experiences in the information they see.  

Special information about you as a guest

If, in connection with a visit to us, you make us aware of a special circumstance, this will be stored together with the other information in your booking. This could include allergies, dietary considerations and special food preferences or a disability. 

If you send sensitive personal data to Sinatur, you should send it in encrypted if you use email.

Special information about you as an overnight guest

Our processing of your personal data in connection with your overnight stay has the following purposes:

To record travel identification of guests staying at our hotels.

This personal data is processed on a legal basis in accordance with Article 6(1) of the General Data Protection Regulation (c)

The information is automatically deleted after 2 years

Digital Guest

You can access relevant information about your stay at our hotel through our web-based guestbook app, Digital Guest. This includes information about reception and restaurant hours, the WiFi code, and driving directions.

By using Digital Guest, you give us permission to process information such as your name, phone number, email address, room number, arrival date, your reservations and any comments in our guestbook.

This data processing is based on Article 6(1)(b) of the General Data Protection Regulation, as it is necessary for the performance of our agreement with you to provide the services offered through Digital Guest, as well as our legitimate interest in ensuring that you have the best possible experience during your stay at Sinatur Hotel & Conference's hotels. in accordance with Article 6(1)(f) of the GDPR.

Video surveillance

Sinatur carries out video surveillance for the sake of intruders and theft, as well as as a security for employees and guests. Of course, we follow all applicable rules and requirements for the storage and use of these recordings, and they will only be accessed in case of suspicion of criminal activity. It is a small circle of trusted employees at the hotels who are the only ones who have access to the recordings. The recordings can be passed on to the police or others if required by law.

Access to credit card information

Through our payment provider, Sinatur has access to your credit card information as a guarantee for your reservation. Our payment provider provides the necessary consent for the registration and processing of sensitive information.  

Sharing of personal data

As a general rule, the information will not be disclosed to third parties unless it is necessary for the fulfilment of an agreement with you.  
By law, we are entitled to disclose information to the police in the event of fraud.  

Are you applying for a position at Sinatur

When you apply for a position at Sinatur, the personal data that you have provided in connection with your application is registered. We do not store applications unless you have consented to this. When you send an application via Jobmatch/Garuda , all the information is stored by this third party with whom Sinatur has a data processing agreement.

A limited number of employees have access to this information.

If references are obtained on an applicant, these will not be saved after the recruitment process has been completed. 

Applicants who receive a rejection from us will have their application deleted within 6 months after the application has been made. 

Your rights

According to the General Data Protection Regulation, you have a number of rights that you can use at any time to gain insight into what information we have on you and how it is stored.

Whistleblower scheme

At Sinatur, we have a so-called whistleblower scheme, which can be used if suspicious circumstances are suspected. Through a reporting system, you can easily and quickly report concerns or suspicions about conditions that may affect our company or people's well-being. The reporting system must not be used to deliberately false accusations against persons, and deliberately untrue information must not be reported at all. 

We encourage you to state your name in the report. Whether you do or not, we ask you to set up a secure PO Box to make it safer and easier to communicate with us.
